## Overview

Skolarli is an enterprise Learning Experience Platform as a Service (LXPaaS) designed to transform Learning and Development operations within organizations. For existing Skolarli customers, this section contains documents that will guide you in setting up and running your LXP, as well as conducting courses. This documentation is designed to help administrators, facilitators, and teams effectively configure and manage learning programs using Skolarli.

# Create an Account

## <mark style="color:green;">Sign up for Skolarli account</mark>

Skolarli is a SaaS application that creates an instance of the entire Learning Experience platform for your organization, when you sign up.

An instance is nothing, but an account which you have created with your email ID and a unique domain name.

The domain names are created as subdomains on the Skolarli instance. Eg: if you'd like to call you Skolari instance as 'Elderberry', you instance will be available at **<https://elderberry.skolar.li>**

**The sign-up process requires users to complete a simple registration form, displayed below:**&#x20;

It is important to keep in mind that domain names must be distinct. If you choose a domain name that has already been claimed by another organization, it will not be available for your registration

After successfully registering your account, you will receive an email requesting you to verify the email account. Simply click on the button '**Verify my Email**' provided in the email to verify your account.

Your account can be accessed once you have verified your email. The verification link will remain active for a duration of 2 hours from the time you registered your new account. This means that you must verify your account within this timeframe in order to log in to your instance.

**Pro tip:** When setting up your account, it is advisable to select a domain name that is both easy to remember and also reflects your brand or organization. Feel free to get creative. While there are some restricted domain names that cannot be used, it is unlikely that you will encounter them for your brand name. Additionally, if you are unable to get your desired domain name, please feel free to get in touch with our team. Our team will be happy to assist and explore any possibilities.

# Login to your instance

If you have reached this section, congratulations! Your Skolarli instance has been successfully created and verified.

Signing in to your Skolarli instance is a simple process. Please remember that your domain name and email ID serve as the unique identifiers for your account and at this point. Initially, only the admin user can access the newly created instance.

**NOTE:** Please note that passwords are case sensitive, which means, "Password123" and "pASSWORD123" are distinct passwords and not the same, despite having the same combination of letters and numbers, the reversal of upper-case and lower-case characters makes them different.

# Home Page

The Admin Home provides a consolidated overview of key platform metrics, including **total and active programs, training batches, sessions, participants, facilitators, assessments, and certificates.** The page also shows a monthly training schedule calendar, user engagement chart for the last 7 days, and sections for upcoming assessments, webinars, and recently created training programs.

The dashboard enables administrators to monitor learning operations, training activities, and platform engagement efficiently.

**Metrics Cards** – Displays important platform statistics such as total programs, active programs, participants, facilitators, assessments completed, and certificates issued for quick insights.

* **Calendar** – Provides a schedule view of upcoming training sessions and events in monthly, weekly, daily or list formats for better planning and tracking.
* **Engagement Chart** – Visualizes user engagement trends over the last 7 days, helping administrators monitor active and non-engaged users.
* **Upcoming Assessments** – Displays scheduled or pending assessments, allowing users to quickly track upcoming evaluation activities.
* **Upcoming Webinars** – Shows upcoming webinar sessions and enables users to create or manage webinars directly from the dashboard.
* **Latest Training Programs** – Lists recently created or published training programs along with their status, views, and clicks for quick access and monitoring.

The left side of the screen contains the main navigation menu, which allows users to access different modules of the platform:

#### <mark style="color:$success;">**Apps**</mark>

The **Apps** module allows users to install and enable third-party applications of their choice. To get started, users must enter their existing account credentials for the selected app. Please note that account creation is not supported within Skolarli. Users must register and create an account directly on the respective application's platform before connecting it to Skolarli.

#### <mark style="color:$success;">**Org Details**</mark>

This module allows administrators to manage and customize their organization's information within the instance. Users can update organization details such as the company name, contact information, logo, and other relevant settings. It also provides options to configure the organization's branding by setting a custom theme, helping maintain a consistent look and feel across the platform.

#### <mark style="color:$success;">**Settings**</mark>

The **Settings** module allows administrators to configure platform-wide account management, user registration, security policies, and authentication settings. These settings help control how user's access and interact with the platform.

**User Management**

Configure user registration and enrollment preferences:

* **Allow Self Registration** – Enables users to create their own accounts without administrator approval.
* **Email Verification Required** – Requires users to verify their email address before accessing the platform.
* **Verification Link Expiry** – Defines how long email verification links remain valid.
* **Default User Role** – Assigns a default role to newly registered users.
* **Auto-Approve Enrollments** – Automatically approves course enrollment requests.
* **Allow Profile Editing** – Allows users to update their personal profile information.
* **Require Phone Number** – Makes a phone number mandatory during registration.

**Security & Authentication**

Manage password policies and account security settings:

* **Minimum Password Length** – Specifies the minimum number of characters required for passwords.
* **Require Special Character** – Enforces the use of special characters in passwords.
* **Require Number** – Requires at least one numeric character in passwords.
* **Session Timeout** – Automatically logs users out after a period of inactivity.
* **Max Login Attempts** – Defines the number of failed login attempts allowed before account lockout.
* **Lockout Duration** – Sets how long a locked account remains inaccessible before retrying.

**Additional Configuration Areas**

The left navigation panel provides access to other account-related settings:

* **Program Management** – Manage learning programs and courses.
* **Assessments** – Configure assessment-related settings.
* **Media Storage** – Manage storage settings for uploaded content.
* **Analytics** – Configure reporting and analytics preferences.
* **Embed Widget** – Generate and manage embeddable widgets for external websites.

This module helps administrators maintain platform security, user management policies, and overall system

# New Program

## <mark style="color:green;">What are Programs?</mark>

Programs in Skolarli are used to organize and manage training courses or learning paths delivered to participants.

Each Program can contain multiple Topics, and each Topic can contain multiple Lessons or Sub-topics as well, they are called Program curriculum. We'll cover curriculum in detail under 'Program Contents'. ## <mark style="color:green;">How to Create a Program?</mark>

To create a new program, you can use the navigation menu on the left side of your Skolarli application, upon clicking the link called **‘Programs ⇒ New Program’**, a program creation form is displayed to enter details about the program you wish to offer.

**For example,** the following workflow demonstrates the creation of a **Personality Development Program.**

Enter the required program information in the form and click the **New Program** butto&#x6E;*.*

This screen displays the basic program setup section, where administrators can enter the program name, configure the program status (Draft or Inactive), and select the appropriate Program Category. Administrators can define the key skills and competencies participants will gain from the program, helping classify, define, and manage the program before publishing.

In addition to the details provided in the form, you also have the option to enhance the presentation of your program by adding a cover image. Remember the saying "A picture speaks a thousand words":smile:

“**Enable Drip Content**” releases learning content sequentially based on Participant progress, after participants complete topics and sub-topics in the configured sequence.

## <mark style="color:green;">What happens once a program is created?</mark>

Newly created programs remain in Draft status until they are published. This means that only Skolarli instance administrators within your organization can view the program on the dashboard. In order for the program to become accessible to learners and the wider audience, you must publish it.

You have the flexibility to continue making edits and adding additional content to the program as needed or until you are satisfied with the program contents. Once you feel the program is fully prepared, you can proceed to publish it, making it available for learners to access.

**Note:** Programs can be published only after curriculum content has been added. Until published, the program remains in Draft status.&#x20;

# All Programs

## <mark style="color:green;">View the list of all programs</mark>

This page displays the list of all programs added to your Learning Experience Platform (LXP) instance by navigating to **Programs ⇒ All Program's** under **Learning** section. Here, administrators can view, edit, or delete program details

Regardless of the status of the programs, whether they are in 'Draft' or 'Published', you can still make changes to their details. Search for the specific Program you want to view/modify/delete by using the 'Filter' search box and click on the 'Actions' dropdown menu corresponding to the program.&#x20;

From there, you will have the option to view, edit, add curriculum or delete the program details according to your requirements.

# View

Once you have created the program, you may wish to view the details about the program, including the batches which have been created, the Program tags and the delivery formats etc. by navigating **All** **Programs ⇒Action ⇒View.**

&#x20;The program detail's view provides you a snapshot of the information regarding the program.

You will be presented with the below information

1. The format and the delivery medium of the program
2. Overview of the program.
3. Category and the tags associated with the program
4. List of all the batches that have been created for this program / training program delivery
5. You can also take quick actions like 'Edit the program details' and 'Create a new batch for the program'&#x20;

***For Example**: We'll try to view details of the* program *called "**Personality Development Program**".*

# Edit

## <mark style="color:green;">Update program information</mark>

This option allows admin to modify or add more program details. When you click on 'Edit' against the desired program by navigate to **All Programs⇒ Actions**⇒ **Edit** a form appears with the existing details pre-populated, you can now make the necessary updates or modifications to the program information.

Once you have made the desired changes, simply click on the 'Update Program' button to save and apply the modifications.

***For Example**: Let's say we want to update the description about the* program *and convey to the Participants how they can additionally benefit, we've added some more text. (In the example for ease of reference we have highlighted the updated information)*

You can also modify the status of the program; this is useful if you wish to 'Unpublished' a program.

&#x20;**Note**: Publish will display in status drop down only if curriculum is defined.


# Curriculum

Program Curriculum

This is where all the magic happens, program curriculum is the heart of the entire Learning Experience Platform.

It is the core structure used to organize learning content within Skolarli.

Once you have created a program, the next step is to add content and define the curriculum for the program. This can be effortlessly accomplished by selecting the 'Curriculum' link found under the action's menu option for the specific program.

## <mark style="color:green;">1. Add New Topic</mark>

As mentioned in the previous sections of the introduction document, Skolarli refers to each main topic within a program as "**Topics**". These Topics essentially represent the primary sections within a program curriculum that contain sub-topics nested within them.

To add a new topic to the program, Admins should navigate to **All Programs** ⇒ **Action ⇒ Curriculum** click on the '**Add Topics**' button, which opens a topic creation form, where you can enter the topic name and hit 'Submit' to save the details.

## <mark style="color:green;">**1.1 Modify Topics**</mark>

If you need to make any modifications to the chapter you have previously added, you can click on the 'Edit Chapter Name' icon. This icon is represented by a pencil icon located next to the chapter name. Clicking on it will open a modal where you can update the chapter name accordingly.

## <mark style="color:green;">2. Add Sub-topic</mark>

After adding the topics, the next step is to include sub-topics within each topic. Sub-topics are used to organize learning content within the respective topic.

Sub-topics support multiple learning content formats, including video, audio, PDF, articles, and embedded content. Furthermore, you have the option to include multiple types of content within a single sub-topic, allowing for a rich and diverse learning experience.

## <mark style="color:green;">2.1 Modify Sub-Topic Name</mark>

To modify the sub-topic name, the process is quite similar to modifying the Topic name. You simply need to click on the 'Edit Sub-topic Name' icon, represented by a pencil icon located next to the sub-topic name. Clicking on this icon will allow you to modify the sub-topic and update its name accordingly.

## <mark style="color:green;">3. Adding Sub-Topic Contents</mark>

The platform supports multiple sub-topic delivery formats and allows you to add contents for sub-topics in multiple delivery formats, users can add videos, audio files, articles, PDFs, and embedded content.

&#x20;This wide range of options allows you to deliver content in formats that best suit the learning objectives and preferences of your audience and enhance the learning experience.

&#x20;All content hosted on Skolarli is stored on secure enterprise-grade cloud infrastructure powered by AWS. This ensures secure storage and reliable content delivery. You can have peace of mind knowing that your valuable materials are protected and stored in a secure environment.

To add content to the selected sub-topic, click on “**Manage contents**”.

### <mark style="color:green;">**Video Lessons:**</mark>

***For Example**:* A video can be uploaded to the selected sub-topic titled ‘Video communication that helps in Personality development’ to the lesson "Understand the value of Communication and Time".

The upload processor is an easy to use an intuitive widget which informs you about the progress of your Video upload.

**Resumable Uploads**: Did you know Skolarli uses a unique technology not used by most of the Learning Management systems and Learning Experience platforms, where we save the state of your file upload in case of a disconnection issue.&#x20;

How this helps is here: Let's say you are uploading a Video sized 500Mb, and in the middle of the upload, after around 300Mb being uploaded, your internet goes off or your browser crashes, or maybe your Laptop runs out of power, now when you log back into Skolarli, and try uploading the Video, it will resume from the last point which was uploaded which is from 300Mb and not from the start.&#x20;

### <mark style="color:green;">Text Articles</mark>

The Text article editor for sub-topics in Skolarli is a powerful Rich Text Editor that enables you to write and format your content easily. The editor allows you to include tables, images, and even embed videos, among other features, providing you with a flexible document editor / toolset for creating engaging lesson materials.

You could also add tables, images, embed Videos and a lot more using the Editor. The Editor saves your document every few mins, so you don't lose your articles in case you forget to save them by hitting the 'Save' button.

### <mark style="color:green;">PDF and Audio Files</mark>

PDF and Audio file uploads are very similar to how you'd upload Video files. The entire process is exactly the same for your ease of use.

### <mark style="color:green;">Embedding Power point files</mark>

PowerPoint, developed by Microsoft, is a proprietary software specifically designed for creating presentations. The files generated by PowerPoint, such as PPS, PPT, PPTX, and PPSM, can only be viewed and edited using PowerPoint itself.

However, Skolarli offers the capability to embed PowerPoint files as part of your lesson or program contents. By following the steps outlined below, as specified on Microsoft's support website, you can seamlessly incorporate PowerPoint presentations into your Skolarli platform [here.](https://support.microsoft.com/en-au/office/embed-a-presentation-in-a-web-page-or-blog-19668a1d-2299-4af3-91e1-ae57af723a60#:~:text=Open%20your%20presentation%20in%20PowerPoint,Share%2C%20and%20then%20click%20Embed.\&text=In%20the%20Embed%20box%2C%20under,Copy%2C%20and%20then%20click%20Close.)

**How to get the Embed code?**

1. Save your presentation to OneDrive.com. (Storing the presentation to a public folder online is what allows you to embed it on a web page.)
2. Open your presentation in [PowerPoint for the web](https://office.live.com/start/PowerPoint.aspx). On the File tab of the Ribbon, click Share, and then click Embed.![Click Share and then click Embed](https://support.content.office.net/en-us/media/3a0e3622-3db1-480c-a142-595426ed81a0.png)
3. To create the HTML code to embed your file in the web page, click Generate ![Generate HTML code](https://support.content.office.net/en-us/media/4bbeb617-e7a3-4a0e-ac69-067499451f15.png).
4. In the Embed box, under Dimensions, select the correct dimensions for the blog or web page.

5. Under Embed Code, right-click the code, click Copy, and then click Close.

   You'll use this embed code in the next procedure. You may want to paste it somewhere handy, like Notepad, so that you don't lose it.

Your learners will need to have a microsoft account as well to view the powerpoint files (A Free Microsoft account should suffice too)

### <mark style="color:green;">File Sizes</mark>

Although we provide ample file size and storage allowances, we do have certain limitations in place to maintain an optimal learning experience for students. This includes restrictions on file sizes to prevent any inconvenience in their learning journey. Uploading multiple larger files could tamper their overall learning experience.

Additionally, please note, that your account has a storage limit. To determine the specific storage limits associated with your package or plan, we recommend checking the details provided in your account settings or referring to the package details [here](https://skolar.li/pricing).

# Preview

This screen allows users to preview the content added to Topics & Sub – topics by navigating **All Programs ⇒Action⇒Preview** or clicking the Preview button at the top while adding content to subtopics.

User should select a Module and topic to view the contents by clicking on the expand arrow in the corner of left navigation bar.

# Delete

This screen allows users to delete the Program by navigating **All Programs⇒ Action⇒ Delete**

**DELETE Option:** Once you have published a program or training program and conducted training batches, deleting the programs is not possible. Deleting a program after it has been delivered would impact your usage statistics for billing purposes, as well as the associated analytics and reports tied to the program. Therefore, program deletion is only an option if no training batches have been conducted for that specific program.

# New Batch

## <mark style="color:green;">What are Batches?</mark>

Batches in Skolarli are groups of participants enrolled together for a specific training program. These batches can vary in size and may consist of individuals with similar learning objectives or roles and responsibilities. By organizing participants into batches, Skolarli enables a structured and collaborative learning experience, allowing participants to progress through the training program together and engage in group-based activities and discussions.

Skolarli enables administrators and facilitators by providing them with the capability to create multiple batches for a training program and schedule them as per their requirements. This feature allows facilitators to efficiently manage and deliver training to different groups of participants at different times. Administrators and facilitators can configure batch-specific schedules, sessions, and participant enrollments, track progress, and provide tailored guidance and support to each batch of learners, ensuring a customized and effective training experience for all participants.

## <mark style="color:green;">Create a New Training Batch</mark>

To create a training batch, you need to navigate to the '**Training Batches ⇒ New Batch'** and fill in the information in the presented form.

**For example:** Let's create a new batch for the Program called 'Personality Development Program' we created earlier, and let's name this batch as "Beginners Batch for Personality Development".

If the program is open to all learners, you have the option to specify the maximum number of enrolments allowed for a particular batch. Once the maximum number of enrolments is reached, the batch will automatically close for further enrolments. However, it's important to note that your organization's Skolarli instance admin can still enroll students to the batch.

‘**Select Program**’ field displays only published programs and ‘**Select Facilitators**’ field displays only Facilitators who are verified. Up to three facilitators can be assigned to a batch based on the subscription plan. To assign additional facilitators, the subscription plan must be upgraded.

**Note:** Now, you can add up to 3 Facilitators to a single batch.


# All Batches

After creating a training batch, all the training batches created are visible in **Training Batches⇒ All Batches** under **Learning** section in the left navigation menu. Here, administrators can view, edit or delete batch details.

After creating a training batch, admin has the flexibility to View Batch, edit/modify its details, schedule batches or delete as needed by navigating to **All Batches ⇒ Action.**

You can make various modifications such as rescheduling the batch training dates, adding more information about the batch, adjusting the enrolment capacity, and much more. This allows you to adapt and refine the batch details to meet changing requirements or accommodate any updates or changes that may arise. Skolarli empowers you with the ability to efficiently manage and customize your training batches according to your specific needs.

# Edit Details

<mark style="color:green;">**Edit Training Batch**</mark>

This screen allows the admin to make various modifications such as rescheduling the batch training dates, adding more information about the batch, adjusting the enrolment capacity, and much more by navigating to **Action ⇒Edit Details** under **All Batches**

This allows administrators to update and manage batch details based on operational needs. Skolarli empowers with the ability to efficiently manage and customize your training batches according to the specific needs.

***For Example:** For the batch we previously created '**Beginner Batch for Personality Development Program**', we have modified the Batch name as “**Beginners batch for Personality Development**”, changed Status & enrolment capacity to 50 from its previous value of 10.*

# View Batch

This screen displays detailed information about the batch that is created by navigating to **All Batches ⇒Action ⇒View Batch**

You will be presented with the below information

* The format and the delivery medium of the Batch
* Overview of the batch.
* Duration of the batch
* Batch Fee, discount, batch capacity, Total sessions & total fees.
* List of all the participants that have been enrolled for this batch
* Quick actions such as **Edit Batch** and **Create Batch** are also available from this screen.

Clicking the expand/collapse icon in the Batch overview toggles the description view.

<mark style="color:green;">**Enroll Participants**</mark>

Participants can be enrolled into batches by Skolarli Admins in your organization by navigating **Action ⇒View batch⇒ Enroll Participants** under **All Batches.**

On the details view of the batch, you'll see an '**Enroll Participants**' button, clicking on this button will present you with a pop-up modal window, which has a list of Participants added to your Skolarli instance. You need to select the Participant whom you wish to enroll and hit 'Submit' button; the participant will be enrolled in the batch successfully. *(We'll cover how you can add Participants to your Skolarli Instance* [*here*](https://docs.skolar.li/learners-management/add-modify-learners)*)*

***For Example:** Let's try to enroll participants to the batch we had previously created*&#x20;

**Pro Tip:** For your convenience, you can search for students by their email IDs to ensure accurate enrollment. This is especially helpful when there are multiple students with the same name in a batch.

<mark style="color:green;">**Cancel Enrollment**</mark>

In certain situations, you may need to cancel the enrolment of Participants from a batch. To initiate the cancellation of a Participant's enrolment from a specific batch, follow these steps:

1. Navigate to the bottom of the page where you will find a table displaying the list of enrolled Participants.
2. Locate the relevant Participant whose enrollment you wish to cancel within the table.
3. Click on the 'option' titled 'Cancel'.

By following these steps, you can successfully cancel the enrolment of a Participant from the specified batch.

***For Example***: *From the previously enrolled Participants, let's try and cancel ‘Test user’ enrolment, by clicking on the menu option '**Actions ⇒ Cancel Enrolment'** menu option.*

# Schedule Batch

#### <mark style="color:green;">Create a Schedule for the batch</mark>

Now, that we have created a batch, let's go ahead and schedule the training sessions for the batch. You can do so, by navigating to **Training Batches⇒ All Batches**, selecting the option called '**Schedule Batch**" under action menu. You'll then be presented with a calendar view and the scheduling form.

Skolarli, allows administrators the flexibility to create schedules for a single day or set up recurring sessions for training, you can even define daily or weekly recurring sessions, thus offering various options for frequency and repetition.&#x20;

For example, admin can schedule sessions to occur once every Thursday, twice a week, three times a week, or based on any other desired frequency. This flexibility enables admin to tailor the training schedule according to your specific needs and preferences.

#### <mark style="color:green;">Single Day Session</mark>

In a single day batch, the 'Start Date' and the 'End Date', needs to be same, if different, the End Date will be set same as the Start Date.

For example, consider the batch "Beginners batch for Personality Development', we wish to conduct an introduction session which is a **2hours session from 05:00 PM - 08:00 PM**, and this is a single day event.

Fill the details and click on schedule now.

**Example:** *The following screen displays the Single day session scheduling configuration*

#### <mark style="color:green;">Daily Recurring Sessions</mark>

Now consider a scenario where we need to create training sessions that recurs on a daily basis.

We need to select the option '**Daily**' in the 'Schedule Recurrence' dropdown and fill in the start time and the end time of the training sessions. In a daily batch, the start time and the end time will be the same between the 'Start Date' and 'End Date'.

If your batch meets daily, use this option.&#x20;

**Example**: *Consider the following scenario where we need to create training sessions that recurs daily from May 13, 2026 to June 30, 2026, from 04:00 PM to 05:00 PM.*

#### <mark style="color:green;">Weekly Recurring sessions</mark>

The weekly recurring scheduler is a powerful tool, that can schedule pretty complex scheduling needs. In this admin can set different times for 'Start Time' and 'End Time' for different days.

Example 1: You consider a scenario where we need to create training sessions that recurs weekly May 13, 2026, to June 30, 2026, and you only meet on every Monday and Wednesday during this time period.

Let's consider, your schedule is something like this:

* Mondays include a one-hour session, starting from 1:00 PM to 2:00 PM
* Wednesday you include a one-hour session, from 2:00 PM to 3:00 PM

**Example**: *The following screen displays the  Weekly session scheduling configuration*

# Session Plans

#### <mark style="color:green;">**Creating a session plan**</mark>

After successfully creating a schedule for the 'Beginners Batch for Personality Development', we can proceed to define session training plans for each of the training session.

These plans, accompanied by their titles and any necessary instructions, will be accessible to the admins, facilitators and Participants on their dashboard.

You should be able to add session plans, by navigating to **Training Batches⇒ All Batches**, selecting the option called 'Schedule Batch" and clicking on the corresponding session marker on the calendar.

***For Example:** Going back to the 1st single day session that we had created, where we planned to conduct an introduction session on May 13*<sup>*th*</sup>*&#x20;Single Day session. Let's open up the session plan for that day and add the relevant information.*

You can title your training session plan, you can share instructions to your students, you could modify the date and time if needed (Only for future dates that is, you will not be able to edit any information for past dates)

You could even share the meeting link, so that it's easier for students to find the meeting link and join the session instantly.

If user have Zoom integration in their instance, then the scheduling option will appear with Zoom Button, which user can use to create Zoom meetings automatically by enabling the toggle button “zoom Meeting”

All Participants gets the zoom meeting invitation mails by enabling the toggle button 'Notify Participants via zoom email Invitation'

**Note:** For Zoom integration in their instance, user can go to Apps in dashboard and install Zoom communication.

#### <mark style="color:green;">**Modify the session plan**</mark>&#x20;

Similar to how you create a session plan, you can also modify the session plan, you could change the title, you could add additional instructions or even re-schedule the session for a later date or time. User can regenerate new meeting link by Enabling the Zoom Meeting, you also have an option to notify about the change to all the students by sending an email notification, you can do this by checking the toggle button 'Notify learners by email'.

#### <mark style="color:green;">**Delete the session plan**</mark>

On occasions where you wish to cancel a training session for any reason, you could pull up the scheduler and click on the '**Delete**' button to cancel the training schedule.

Please note, you can only delete or cancel future training sessions and not the ones which have already completed.


# Add / Update attendance

#### <mark style="color:green;">**Mark Attendance for students**</mark>

Once batches have been created batches and the training session delivery has commenced, it is a common practice to capture the learner's / student's attendance to gauge their progress.

Skolarli provides a user-friendly attendance system that offers complete control to administrators or trainers who are delivering the training sessions. With this system, you can easily manage attendance records within the Skolarli platform.

Additionally, Skolarli offers the flexibility to integrate with your attendance management system as well, through custom integrations. If you have a specific custom requirements regarding attendance integration, you can reach out to your account manager or send an email to <levelup@skolarli.com> for further assistance and feasibility check. Skolarli is dedicated to meeting your unique needs and ensuring seamless integration with your attendance management system to track Learner's progress.

To fetch the sessions for which the attendance needs to be marked, please click on the 'Pick Date Range' search box in the "Batch Attendance" widget, you can select the date range and all the sessions conducted between the date range will be presented as a list in the widget.

Select the event from the displaying list and click on Check Icon (Mark attendance).

***For Example:** In the batch we had previously created, let's say for a particular session, All attended and Zake bell wasn't able to attend, then the below image shows how the attendance can be marked by the Admin or the Trainer.*

**NOTE:** Please note, attendance can only be marked for sessions that occurred within the past 30 days. It is not possible to mark attendance for future dates. This limitation ensures that attendance is accurately recorded within a reasonable time-frame and helps maintain data integrity. Therefore, when marking attendance, please ensure that the sessions fall within the allowable 30-day period.

#### <mark style="color:green;">**Update Attendance**</mark>

Skolarli also provides you to modify attendance records that have already been marked. In case you encounter a scenario where attendance needs to be modified, you can make the necessary changes.

To fetch the sessions for which the attendance needs to be updated, please click on the 'Pick Date Range' search box in the "Batch Attendance" widget, you can select the date range and all the sessions conducted between the date range will be presented as a list in the widget.

However, it's important to note that the same limitations apply as when marking attendance initially. Attendance modifications can only be made for sessions that occurred within the past 30 days. Beyond this timeframe, attendance records cannot be modified. Please ensure that any required attendance modifications fall within the allowed 30-day period.

If at all there is a need to mark attendance for students for days backdated more than 30, reach out to your account manager and our professional services team may be able to assist you, this is taken up case by case basis.

***For Example:** Let's assume, after marking attendance of the 3 students, the trainer realizes that Zeke is actually present for the session, the trainer can very easily pull up the attendance modification view by following the same process listed above and clicking on the checkbox against Zeke and mark his attendance.*

# Attendance Reports

This page display all the Session plan details like [Session Title](https://beta.skolar.li/learning/batches/session?sid=1795\&bid=141), [Session Description](https://beta.skolar.li/learning/batches/session?sid=1795\&bid=141), Training Instructions, Training kit, remaining time for the session etc.

* You could reward the Participants for attending the session and engaging in the session
* Only the leaners whose attendance has been marked as 'Present' will be displayed for rewards
* This section will be active only during the sessions and not post that.

Admin could reward the Participants for attending the session and engaging in the session. Only the participants whose attendance has been marked will be displayed for rewards.

# Delete

#### <mark style="color:green;">Delete the Training Batches</mark>

This module allows administrators to manage and remove training batches that are no longer required. By navigating to **All Batches ⇒Action ⇒Delete** under **Training Batches,** admins can permanently delete an existing training batch from the system.

The Delete functionality helps maintain accurate and up-to-date batch records by removing obsolete, duplicate, or incorrectly created batches. Before deletion, the system may prompt for confirmation to prevent accidental removal of batch data.

# Onboard Facilitator

#### <mark style="color:green;">How to</mark> <mark style="color:green;">**Onboard Facilitator**</mark>

Skolarli allows an Admin to add as many facilitators *(as mentioned in your package / plan)* as need to your Skolarli instance.

The on-boarding process is a simple process and needs the admin to fill in information in a simple on-boarding form.

You can reach the form by navigating on the left menu to "**Facilitators ⇒ Onboard Facilitato**r" and filling in the form completely.

Once the form details have been successfully saved, the trainer will receive an email requesting them to verify their account. The process is the same as creating a new admin account as well. Please note, the verification link will be active only for 2 hours.

&#x20;***For Example**: Let's say we have added a new facilitator named 'JulianP’*

# Facilitator Base

This screen displays a list of all the facilitators added to the organization’s Skolarli LXPaaS account by navigating to the link **"Facilitators ⇒ Facilitators Base".**

It includes key details such as Facilitator ID, Name, Company, Email ID, Contact Number, and Email Verification status.

Users can search and filter facilitators, onboard new facilitators and perform actions like viewing profiles, updating details, resetting passwords, or blocking access by clicking on the menu option 'Actions’.

This page helps administrators manage facilitators and control platform access efficiently.

Facilitators receive separate verification and login emails requesting them to verify their account & login details. Email verification column should be updated to yes after verification.

You can also filter by the Facilitators who have verified their account and not verified.

Admin can perform actions like View, editing facilitator details, scheduling batches, viewing batch information, or blocking the facilitator’s access. This screen helps administrators monitor facilitator profiles and manage their assigned programs efficiently by navigating to **Facilitator Base ⇒Action.**


# View Profile

View Profile

Skolarli provides a profile view for the facilitators, It shows the facilitator’s basic profile details such as name, role, company, email ID, contact number, and account status by navigating to **Facilitator Base⇒Action ⇒View Profile**. The page also lists the training batches assigned to the facilitator, including batch name, Program, capacity, schedule, and current status, and the feedback the facilitator has received.

Can view the batch details only if Facilitator is assigned to the batch we had previously created called "Beginners batch for Personality Development" This can be done by modifying the batch details and assigning the facilitator JamesRobert to the batch.

# Update Profile

Admin has the privilege to update profile for the facilitators. This can be done by clicking on the option **'Actions ⇒ update profile’** against the corresponding facilitator's name.

# Reset Password

Admin has the privilege to reset password for the facilitators. This can be done by clicking on the option **'Actions ⇒ Reset Password’** against the corresponding facilitator's name.

An email with link to reset the password will be emailed to the Trainer.

# Resend Verification

Admin has the privilege to resend verification link for the facilitators. This can be done by clicking on the option **'Actions ⇒ Resend Verification’** against the corresponding facilitator's name.

# Block/Grant Access

Admin has the privilege to block the facilitators. This can be done by clicking on the option **'Actions⇒ Block Access** against the corresponding facilitator's name.

From below picture the facilitator account is blocked by clicking on Yes block the Facilitator.

# Add Participants

#### <mark style="color:green;">**Add a New Participant**</mark>

Skolarli allows an Admin to add as many participants based on the subscription plan limits to your Skolarli instance.

The on-boarding process is a simple process and needs the admin to fill in information in a simple on-boarding form.

You can reach the form by navigating on the left menu to "**Participant ⇒ Add Participant**" and filling in the form completely.

Once the form details have been saved successfully, the student will receive an email requesting them to verify their account. The process is the same as verifying the account of the Trainer or the Admin

***For Example**: Let's say we have added a new participant named “Analia Grit", she should receive an email to verify her account, once verified "Analia" will have access to all the Programs she has been enrolled to and the Program materials as well. Also, let's go ahead and enroll Analia to the batch "Beginners batch for Personality Development"*

#### <mark style="color:green;">**Reset Password for Learner**</mark>

Admin has the privilege to reset the password for the trainers. This can be done by clicking on the option **'Actions ⇒Reset Password'** against the corresponding trainer's name.

An email with link to reset the password will be emailed to the Learner.

#### <mark style="color:green;">**Resend Verification Email**</mark>

Quite similar to how Admin can reset password, the admin can also Resend Verification email to the Trainer in case they missed verifying their account the first time.

The option to resend verification email is available by clicking on the option **'Actions ⇒ Resend Verification email'** against the corresponding trainer's name.


# Import Participants

This screen allows administrators **to** import Participants to Skolarli LXPaaS via a csv (1000 records per csv file) or Sync Skolarli LXPaaS with your existing HRMS by navigating **"Participants ⇒ Import Participants"** under **Learning section.**

Click on **Download Sample File** to download the file and admin can edit the file and add the Participant details he wants to add in bulk.

Users can **drag and drop a CSV file** (with up to 1000 records per file), download a **sample CSV**, and view the **import report** after upload in Participants base.

The imported participants can be visible in Participant base.

# Participant Base

<mark style="color:green;">**View the List of Participants**</mark>

This screen displays a list of all the participants you have on-boarded in your instance, by navigating to the link **"Participants⇒ Participants Base"** under **Learning section**

It includes key details such as Participants ID, Name, Company, Email ID, Employee ID, Contact # and Verification status.

This page helps administrators efficiently manage Participants and control their access within the learning platform

# View Profile

#### <mark style="color:green;">View Participants Details</mark>

Skolarli provides a profile view for the Participants, this provides the entire details of Participants activities on a learning/skilling platform and the feedback the participants have received.

The profile includes **basic details** like name, occupation, and education, with an option to edit primary details. Navigation tabs are available for **Summary, Activities, Learning Journey/Path, Performance and Recommended Skilling**. Overall, the dashboard provides a quick overview of learning activity and skill development status.

***For Illustration**: Since we had enrolled Analia Grit to the batch previously, her profile will display the batch we enrolled her to, along with all the other batches as well, she is part of.*

An Admin / Trainer can also view the activities performed by *Analia* and also the learning path that has been recommended for her by navigating between tabs listed.

**Activities tab**

This screen shows the **Activities** section of a participant’s profile. It displays the complete activity history with timestamps, such as login and logout actions, allowing administrators to track user engagement and system usage.

**Learning Journey/Path**

This screen displays the participant learning journey and progress overview in Skolarli. It displays the user’s their enrolled program, batch, progress status, completed sub-topics, and pending lessons, giving a complete view of the Participant’s progress and performance.

**Performance:**

This screen shows the **Performance** section of a participant’s profile in Skolarli. It displays quiz results with scores and status, highest/median/lowest comparisons, performance in in-person trainings, and points earned, giving a clear view of the Participant’s overall performance and achievements.

# Update Profile

Admin has the privilege to update profile for the participants. This can be done by clicking on the option **'Actions ⇒ Update profile’** against the corresponding Participants name.

Updated Participants name, Description, education and phone number for the added participants

# Reset password

Admin has the privilege to reset the password for the facilitators. This can be done by clicking on the option **'Actions⇒ Reset Password'** against the corresponding facilitator's name.

An email with link to reset the password will be emailed to the Participant.

# Resend Verification

Quite similar to how Admin can reset password, the admin can also Resend Verification email to the Facilitator in case they missed verifying their account the first time.

The option to resend verification email is available by clicking on the option **'Actions⇒ Resend Verification email'** against the corresponding facilitator's name.

# Block/Unblock Access

Admin has the privilege to block the participants. This can be done by clicking on the option **'Actions⇒ Block Access** against the corresponding Participants name.

From below picture Participant gets blocked by clicking on Yes block this participant.

# Add New Q & As

This screen allows users to **create and add new questions** to the question bank by selecting the program, topic, and module and defining the difficulty level, score and question type (Multiple Choice Question & Yes-No).

You can reach the form by navigating on the left menu to "**Question Bank ⇒ Add New Q & As**" under **Assessments** and filling in the form completely.

Users can design the question content using the provided form and also have the option to clear the form if needed. This page helps in building and managing assessment questions in an organized and structured way.

#### <mark style="color:green;">**Multiple Choise Questions**</mark>

In this screen user can create a **Multiple-Choice Question (MCQ)** by selecting the program, topic, module, difficulty level, score, and question type, then enter the question text.

The screen allows adding up to six answer options (add at least 3 answer options), marking the correct answer(s) using checkboxes, and optionally uploading supporting media such as an image, video, or audio file. This page enables users to create structured MCQ assessments within the platform.

#### <mark style="color:green;">**Yes/No Questions**</mark>

In this screen user can create a **Yes/No Question (Y/N)** by selecting the program, topic, module, difficulty level, score, and question type, then enter the question text.

This page allows users to mark either “**Yes**” or “**No**” as the correct answer and optionally upload supporting media such as images, videos, or audio files. This screen helps users create simple, objective assessment questions within the platform.

# Import Questions

This screen shows the **Import Questions to Question Bank** page in Skolarli.

It allows users to view the program structure with program, topic, and sub-topic IDs, and upload questions in bulk by importing a CSV file for MCQs, True/False, or Subjective types into the question bank.

User should go to relevant program and download the sample CSV file by clicking small green download icon near the Program name.

User gets Pop up box to “Select Question Type to download the CSV”. Select option and click on "**Download sample file**" button. File will be in Downloads.

Edit the sample question and add your own questions in the CSV file.

Ensure that the **Program ID**, **Chapter ID**, and **Lesson ID** correspond to the actual program, chapter, and lesson where you want to add the questions.

In Upload Question Bank CSV select the appropriate question type: MCQ/True/False and Drag and drop the completed CSV file into the upload area, or browse and select the file.

Once the upload is successful, the questions will be imported into the Question Bank.

Navigate to **View Question Bank** to verify that all imported questions are displayed correctly.

# View Question Bank

This is the Question Bank dashboard in the Skolarli platform. You can reach the form by navigating on the left menu to "**Question Bank⇒ View Question Bank**" under **Assessments.**

This screen allows users to view, filter and manage all assessment questions including MCQs, Yes/No and other question types. Users can filter questions by program, topic, module, difficulty level, score and question type.

The page also displays quick statistics, such as the total number of questions, distribution by question type, programs, topics, modules, and difficulty levels.&#x20;

Below the stats, users can search questions, add new questions, export questions, and manage existing questions, helping maintain an organized and insightful assessment repository.

Users can add multiple questions to a quiz or delete multiple questions from the question bank at once.

1. Select the required questions from the question bank.
2. Click "**Add to Quiz"** to add the selected questions to a quiz.
3. A list of available quizzes will be displayed.&#x20;
4. Select the desired quiz and confirm to add the questions.
5. Click "**Delete"** to remove the selected questions from the question bank.
6. Confirm the deletion when prompted.

This feature helps manage questions efficiently by allowing bulk actions instead of handling questions individually.

# Add Assessment

This page is the **Evalynk quiz creation screen** in the Skolarli platform.\
It is used to automatically generate quizzes/assessments from a question bank with configurable settings.

You can reach the form by navigating on the left menu to "**Evalynk**" under **Assessments**.

Based on the selected quiz template the page is divided into **3 main sections**:

Quiz Information, Select Content, Quiz Parameters Plus a **Quiz Preview panel** on the right.

1\.   <mark style="color:green;">**Quiz Information:**</mark> This section captures basic quiz details.

* **Quiz Name** — Enter the title of the quiz.  *Example: SEO Fundamentals Mid-Term Review*
* **Quiz Purpose (optional)** — Describe why the quiz is created

2. <mark style="color:green;">**Select Content:**</mark> This section defines **where questions will be pulled from**.

* **Program** — Choose the Program
* **Batch (optional)** — Assign quiz to a specific batch
* After selecting Program → you can view chapters & lessons

If batch is selected, quiz will be assigned to that batch.

3. <mark style="color:green;">**Quiz Parameters:**</mark> This is the **core configuration area**. Difficulty profile, Question Type

After filling the details click on **Generate Questions** button, the system generates questions based on the selected distribution settings.

Administrators can lock questions to retain them by clicking on the lock icon or swap for another question by clicking on refresh icon.

Click the “**Create Quiz”** button to automatically generate assessments from a question bank.

Now user can see the created Assessment under **Knowledge Base⇒ View All.**

Administrators must configure additional assessment settings such as publication dates, duration, and scoring criteria.

# New Assessment

This screen allows organizations to create and configure assessments for their hiring needs or for their Participants by navigating **Knowledge Base⇒ New Qui**z under **Assessments** section. It allows the admin/facilitator to define assessment details, duration, enables scoring setup with total score and minimum pass score. This also includes security controls like question randomization, blocking right-click/dev tools, and proctoring before publishing.

Skolarli supports 4 types of assessments.

1. Knowledge Assessments
2. Skill Assessments
3. Coding Assessments
4. Case-Studies or Case let's

# View All

This screen displays the lists all created assessments by navigating **Knowledge Base⇒ View All** under **Assessments** sectio&#x6E;**.**

It displays details such as **Assessment ID, Name, Program, Batch, Score, Publish/Expiry Dates and Status** (Draft/Published).

# Edit Details

User can modify the quiz that is created, by navigating to **Action ⇒Edit Details** under Assessment **View All.**

User can view the preview of the quiz that is created by navigating **Action ⇒View Quiz** under **View All.**

# Pending Evaluation

This screen shows the “Assessments with Unevaluated Responses” section in the Skolarli platform. It lists assessments that have pending participant responses requiring evaluation. The table displays Assessment ID, Name, and detailed evaluation status such as Evaluated, Re-evaluations Requested, Draft, and Pending Evaluations. Users can quickly identify assessments needing action and proceed to evaluate responses to close the assessments by navigating **View All ⇒ Action⇒ Pending Evaluation** under **Assessment** section or directly clicking on Pending Evaluation module under Knowledge base

**Note:** Closed Assessments don’t have pending Evaluation Link

# View Results

**View Results**

This page shows the summary and results of an assessment by navigating **View All ⇒ Action⇒ View Results** under **Assessment** section, displaying overall performance statistics, question attempt status and a detailed list of participants with their scores, time taken with options to view responses, delete records, filter participants, and provides an **Export Report** option to copy data or download the results in Excel, CSV, or PDF formats.

Clicking on Action menu user can see below options for that participant.

This page shows the detailed response book of a Participant for an assessment by the user by navigating from **View Results⇒ View Responses**, displaying quiz information, participant details, score status, and question-wise responses with correct answers highlighted, scores, results, and options to re-evaluate, add remarks, override the auto-corrected scores and award additional scores as well or export responses.

<mark style="color:green;">**Delete**</mark>

Admin can delete the responses provided by the user by navigating from **View Results⇒ Delete**. The assessment responses from the assessment will be deleted and user will need to re-take the Quiz.

&#x20;**Note:** Delete option appears only for Draft Assessments.


# Close/Delete Quiz

<mark style="color:green;">**Close**</mark>

Admin can Close the Assessments created by navigating from **Action⇒ Close** under **View All**. This link appears only for Published Quizzes. Once closed the status of Assessment show as closed.

**Note:** Once quiz is closed, it cannot be re-opened. This is an unrecoverable process.

If user selects "**Yes, Delete this Quiz"**, the Assessment will disappear from the list.


# Pending Evaluation

This screen shows the “Assessments with Unevaluated Responses” section in the Skolarli platform. It lists assessments that have pending participant responses requiring evaluation. The table displays Assessment ID, Name, and detailed evaluation status such as Evaluated, Re-evaluations Requested, Draft, and Pending Evaluations. Users can quickly identify assessments needing action and proceed to **e**valuate responses to close the assessments by navigating **View All ⇒ Action⇒ Pending Evaluation** under **Assessment** section or directly clicking on Pending Evaluation module under Knowledge base

**Note:** Closed Assessments don’t have pending Evaluation Link.

If a participant accidentally submits an incomplete assessment before the time limit expires in that case the assessment will display under Draft.

This page shows the **assessment evaluation list** in the Skolarli platform. It displays participant-wise details for an assessment, including participant name, email, contact information, attempt status (Not Attempted or Draft).

This page shows a Participant’s response book for the Personality Development Assessment in draft status. It displays participant details, quiz information, evaluation status, and overall result, along with question-wise MCQ responses where correct answers are highlighted and unanswered questions are marked, allowing evaluators to review, score, and submit the final evaluation.

Clicking evaluate response admin can complete the pending evaluation by navigating **Pending Evaluation⇒ Action⇒ Evaluate Response** under View all section

# New Caselet

This page is the **Create New Caselet** screen in Skolarli. It is used to create and publish a new Assignment (caselet) for participants navigating to **Caselets ⇒New Caselet** under **Assessments** section.

Caselets can be generic or linked to training programs and released to participants.

The page is divided into clear sections:

1\.     **Assessment Status (Left panel)** controls when the caselet becomes available and when it closes.

Here user can set the assessment status (e.g., draft, published), Choose the **release & expiry date and time** for the assessment.

2\.     **General (Main section)** It allows the user to enter the caselet topic and instructions, link the caselet to a program, topic, module, and batch

3\.     **Assessment Scoring (Left panel below)**: Define the maximum score for the assessment **Total Score &** Set the minimum passing score required by participants (**Minimum Score)**.

At the bottom right, the **Create Assessment** button is used to save and create the caselet once all required details are filled.


# View All

This screen displays a list of all the caselet's you have on-boarded in your instance, by navigating to the link **"Caselet ⇒View All"** under **Assessments section**

It includes key details such as ID, Caselet's Name, Program, Batch, Min/Tot score, Pub/expiry Dates, status and Action menu..

This page helps administrators efficiently manage case lets and control their access within the learning platform.

# View/Edit Details

User can modify the caselet that is created, by navigating to **Action ⇒View/Edit Details** under **Caselets ⇒View All.**

# Pending Evaluation

This page shows a list of caselet assignments that still need evaluation by navigating **Action⇒ Pending Evaluation"** under **Caselets ⇒View All**. It displays Participant details like name, email, assignment title, status (Draft/Not Attempted), and provides an **Actions** option to evaluate submissions. A search bar helps filter caselets, and the left sidebar allows navigation to learning, assessment, and analytics sections. Overall, it helps facilitators quickly find and review pending Participant responses.

**Different types of Caselet Status**&#x20;

1. Pending Evaluation status show “**Not attempted**” if not started by Participant.

2. Pending Evaluation status shows “**Draft**” if started but not submitted by Participant.

Admin can delete the answer book that was incomplete by clicking on Delete under action menu. This allows user to resubmit the caselet.

3. Pending Evaluation status shows “**Submitted**” if submitted by Participant but not yet Evaluation.

<mark style="color:green;">**Evaluate Response:**</mark>

This page is an **assignment evaluation screen** where the admin can review and grades a Participant’s submission in a structured and efficient way by navigating the link **Action⇒ Evaluate Response** under **Pending Evaluation.**

In Header Section, the page shows the **Caselet title** and a **“Back to Results”** button to return to the previous results screen. On the right side, a **“Pending Evaluation”** label indicates that the Participant’s submission has not yet been graded.

Participant details section displays Participant name, email, submission date, and word count.

SKOAI Analysis is an **AI-powered evaluation tool**. The **“Analyze with SKOAI”** button can be used to get automated assistance in reviewing the submission.

Caselet Instructions is a collapsible section contains the assignment instructions given to the Participant. It allows the evaluator to compare the Participant’s response with the original task.

Participant’s Response section shows the Participant’s written submission in a read-only format. The evaluator can scroll and read the full response before grading.

Evaluation Panel (Right Side) - This is where grading happens:

* **Total Marks & Passing Marks:** Displays maximum score and required passing score
* **Marks Awarded:** Field to enter the Participant’s score
* **Feedback / Remarks:** Text box to write comments visible to the Participant
* **Submit Evaluation:** Saves and submits the grade
* **Cancel:** Discards changes

Users can view the submission status (top right corner) as **Pending Evaluate** until Evaluated.

To submit Evaluation user should enter Awards and Feedback/Remarks and click on Submit Evaluation.

Now the submission status (top right corner) shows as **Already Evaluated.**&#x20;

The Admin can also edit the Awards and Feedback/Remarks fields and click the 'Update Evaluation' button to save the changes.

**Note:** This feedback will be visible to the Participant only.

Admin can delete the responses provided by the user by navigating from **Pending Evaluation⇒ Action⇒ Delete** under **View All.** The user responses from the Assignment will be deleted and user can re-submit the Assignment.

# View Results

This page provides a comprehensive overview of participant submissions and evaluation outcomes for a specific caselet assessment.&#x20;

It helps the admin and facilitators:

* Monitor submission progress.
* Track evaluation status.
* Review participant performance.
* Export assessment reports for analysis and record keeping.

The Participants action menu has functions to re-evaluate or delete the answer book

This allows the evaluator to re-enter marks, edit feedback, and update the result by navigating the link **"View Results ⇒ Action⇒ Re-Evaluate"** under **Caselets.**

# Close/Delete

# Manage Job positions

This screen is the **Manage Hiring Jobs** page of the Skolarli platform. It is used to **create, view, and manage job openings** and track related hiring assessments by navigating **Hiring** ⇒ **Manage Job Positions**.

The page helps recruiters or admins to create job positions, assign assessments/exams to jobs, Track Candidates for each job and Manage job details through actions.

### Add Job

Clicking on “**Add Job**” button allows admin to navigate to Job creation page with fields for Enter Job Details, Job code, Cust Id, Description & Assign Assessments.

Fill all the fields and click on “**Save Job**” button. Job will be created successfully.

# Edit

This option helps admin to update job details that is created.&#x20;

# View Candidate

This page is a **Hiring Candidates dashboard** for a specific job role in Skolarli. The Header section displays Job code and Description along with “Back to Jobs” button that takes you to the job listings page.

Top Metrics provides an overview of candidate status like Total candidates added to job, the total number of exams in Pending, in progress and completed display in card layouts.

**SkoAI Hiring Signal** this is AI-generated message summarizing the hiring status of the job.

**Candidates List Section** this is the Main table where candidate’s details like Candidate name, contact info, Source, Applied date, Status, Magic link, Score, Actions menu.

Search Candidates → find specific candidates by giving text in input box.

Status filter dropdown → Candidate can be filtered by status (All Status, Pending, In Progress & Completed)


# Add Candidate

The **Add Candidate** popup allows administrators to manually add a candidate to a specific job position and optionally assign assessments.

Fill the participants details like name and Customer- id, email id and other details and click “**Add Candidate**”

If user checks **Auto-assign exams and generate magic link option,** it will&#x20;

* Automatically assigns the assessments configured for the job.
* Generates a unique assessment link that can be shared with the candidate.

If user checks **Enable AI Agent Interview option,** it will&#x20;

* Enables an AI-driven interview for the candidate.
* Requires an AI Interview Assessment to be configured for the job.

If admin Click on **Cancel** button Closes, the popup without saving any information.

**Note**: Candidate ID must be unique

# View dossier

The **Candidate Dossier page** is the **detailed profile and evaluation report** of a candidate. It’s what opens when you click **“View Dossier”** from the Candidates List.

The Header section displays Title and Candidate name, exam name, last refreshed, **Refresh** button and **Share** dossier link along with “**Back to Sessions**” button.

Candidate section displays Candidate name, Email id, phone number and source (LinkedIn, referral, etc.) details.

Candidate overview section display Over all -Trust Score, Rounds, Duration, & Violations

AI Candidate Summary is generated automatically. It displays over all scores, total questions, trust score, total violations.

A violation is triggered when a candidate **breaks proctoring rules** or shows suspicious behavior during an assessment.

It helps recruiters evaluate assessment integrity and candidate authenticity.

Displays all snapshots captured during the assessment. Snapshots are captured periodically and during flagged events (like movement, tab switch, etc.) to ensure test integrity.

The snapshot strip loads with images after the assessment is completed.

Clicking a snapshot opens it in an enlarged modal view.  This displays status, Time, Face match% & no of faces visible in the frame.

Status Label: “**Clean**” Indicates no suspicious activity detected in this snapshot.

Users can navigate between snapshots using the left and right arrows between multiple snapshots.

This modal allows scheduling a **video interview** for the candidate.

Fields in the Form

1. **Interview Date & Time**\* (Mandatory) - Select when the interview will happen.
2. **Agenda (Optional)** - Add discussion topics (e.g., system design, past projects).
3. **Primary Interviewer**\* (Mandatory) - Select the main interviewer. This person gets **host link + full control**.
4. **Additional Panel (Optional)** - Add more interviewers (panel members). They join as co-hosts.

After filling all the details and click on **schedule Video interview** button. Host and candidate will get mails with links to join the interview.

**Video Transcript Panel**\
The right side of the screen displays the video transcript, providing a real-time or recorded text version of the interview conversation. This allows users to review responses, track discussion points, and easily reference spoken content during AI analysis and evaluation.

**Run AI Interview Analysis**

Clicking on **Run AI Interview Analysis** processes the completed video interview and generates a detailed AI-powered analysis report. The report provides insights into the candidate's performance, including communication skills, response quality, key strengths, areas for improvement, and overall interview assessment. Once processing is complete, the analysis results are displayed for review.


# Close/Reopen

The administrators can manage the status of a job by using the **Delete**, **Close** and **Reopen** options in **Action** menu in the **Hiring Module**.

This feature helps administrators efficiently control the availability and lifecycle of job postings.

* **Delete Job:** If a job has no candidates, it can be deleted normally.
* **Close Job:** If a job has candidates/assessments taken, it cannot be deleted, and will be prompted to **Close** it instead.
* **Reopen Job:** Allows the administrator to reopen a previously closed job posting if additional hiring is required or the position becomes available again. Closed jobs can be **Reopened** from the Actions menu. Once reopened, the job becomes active and candidates can apply.

This page is the **Login/Logout Analytics Report**. It shows user login activity within a selected date range. The map on the right shows login locations based on users’ IP addresses. Below, there is a searchable and filterable table listing participants with details like ID, name, email, role, company, and login count. It helps track user access patterns and login behavior by navigating **Usage Report⇒ Login/Logout** under **Learning Analytics.**

# Participation

This page is the Participation Records / Attendance Analytics screen in the Skolarli platform. It is used to **view, analyze** and **manage participant attendance** for different batches and sessions by navigating **Engagement Report⇒ Participation** Under **Learning Analytics**.

Here admin can view reports, run analytics, and print participation records. Below that, a filter section allows users to select the Program, Batch and Batch Session from dropdowns. Once selected, clicking on Fetch Participation Report loads the attendance data.

# Video Engagements

This page navigates to SKOAI - View the Engagement on Video based learning materials which provides insights into **how Participants engage with video-based learning content** across different programs. It helps administrators and facilitators track participation and analyze learning behavior.

When user choose a specific training program, Topic, sub-topic and click on **Analyze Video Engagement** button display results.

* **Play / Pause button** – Starts or stops the video.
* **Progress bar** – Shows the current playback position and allows you to seek forward or backward.
* **Expand <** - shows **the video player options on it**

**Clicking on expand < icon,** the video player options become visible. And click on **Hide options >** to hide all the options.

* **Volume control** –mute or unmute the audio.
* **CC** **(Closed Captions)** – Turns subtitles on or off for the video.
* **Settings** – Used to change video quality, playback speed, or other playback preferences.
* **Transcript -** Shows the full text version of the video’s spoken content. Improve accessibility and understanding through text support.
* **Full screen** – Expands the video to full screen for better viewing.

# New Template

This page is the **Create Feedback Template** screen in the Skolarli platform, used to design and save feedback forms for collecting responses after sessions or programs by navigating **360° Feedback⇒ New Template** under **Quality Control**.

Admin can add questions by selecting question types and formats, and they can also import questions using a CSV file. The page is divided into two main sections.

1. The **Feedback Configs** section allows users to configure who the feedback is for and from whom it will be collected. It includes:

* **Feedback On?** – to choose the subject of feedback such *as Facilitator, Participants, Batch, Batch session, Program & program contents, Webinar, Training venue, General.*
* **Feedback From?** – to select who will give the feedback, such as *Facilitator* or *Participants*

2. The **Add your feedback questions** section is where the actual template is created. It contains:

* **Feedback Template Name** – to enter the name of the feedback form
* **Feedback Question** – to add individual questions
* **Add another question** button – to include multiple questions
* **Delete icon** - to remove a question.

If the user attempts to add more questions, a confirmation pop-up message is displayed.

* Selecting **"Okay, I'll stop here"** prevents the user from adding any further questions and closes the question addition process.

Filter can be done by feedback type and by who provides the feedback. A search bar is available to quickly find a form, along with **Filter** and **Create Template** buttons.

The main section displays a table with details such as **ID**, **Form Name**, **Feedback Type**, **Entity**, **From**, **Created**, **Actions** – options to view, edit, or manage the form

Overall, this page helps manage all active feedback forms, making it easy to search, filter, and control how feedback is collected across programs and batches.

# Feedback Received

This page is the Feedback Received Dashboard tab, used to view and analyze all collected feedback. At the top, summary cards show key metrics such as Total Feedback, Average Score, Excellent (4+), and **Needs Attention (<3)**, giving a quick performance overview.

&#x20;Below that, the **Feedback by Category** section breaks feedback into Batches, Programs, Facilitators and Webinars, showing how many feedbacks and ratings are available for each.

The lower section contains a searchable and filterable table listing individual feedback forms with details like ID, Form Name, Category, Entity (Program or program), feedback provider (From), Score and an **Analyze** button to view detailed insights.&#x20;

Overall, this page acts as a central analytics hub to monitor feedback performance, identify strengths and gaps and drill down into specific feedback data for evaluation and improvement.

After participant submit they feedback, admin can see the rating in score column and can use more advance filters on the right side:

1\.     **All Scores Filter -** This allows filtering feedback based on rating ranges:

* Excellent (4–5)
* Good (3–4)
* Needs Attention (<3)
* Not Rated

2\.     **All Categories Filter -** This allows filtering feedback based on the type of entity:

* Batches
* Programs
* Facilitators
* Webinars

These filters help users quickly narrow down feedback data by performance level and category, making it easier to analyze quality, identify strengths and spot areas that need improvement.

This is the **Feedback Analysis** page in Skolarli, where detailed insights of a selected feedback form are shown by clicking on Analyze button near the form.

&#x20;At the top, it displays the number of Responses and the Last updated time.

The Overall Satisfaction section shows a circular score indicator along with a breakdown of responses and with their respective percentages.

Next to it is the Question-wise Ratings area, which will show rating analysis for each individual question once responses are available.

Below that, the **Key Themes Identified** section summarizes feedback into three categories:

1. **Strengths** – highlights strong positive points (currently none identified)
2. **Mixed Feedback** – shows areas with both positive and negative comments
3. **Areas to Improve** – highlights improvement opportunities (currently none needed).

A **Filter by Keyword** option allows users to search feedback comments using specific words or phrases.

At the bottom, the **Individual Responses** section lists participant-wise feedback details. It includes:

* A dropdown to control how many responses are shown
* A search box to find specific participants
* A table that will display participant names and their responses
* Pagination controls for navigating through multiple records.

This page is mainly used for deep analysis of feedback, helping administrators understand satisfaction levels, identify trends, and take action for quality improvement.

This page is the **“Create New Webinar”** screen of the Skolarli platform. It is used to set up and publish a new webinar with all its basic details by navigating **Webinar⇒ New Webinar** under **Connected Learning** section.

This page allows users to configure the webinar by selecting the webinar status, setting participant capacity, choosing the host, and selecting a webinar category. Users can upload a cover image to represent the webinar visually.

In the General section, important details like webinar title, objective, target audience, and a detailed description are entered.

The Webinar Delivery section is used to define commercial and scheduling details such as webinar fees, currency, start date, duration, and time zone. It also includes discount options like no discount, percentage discount, or fixed price discount. At the bottom of the page, the **Create Webinar** button is provided to save and publish the webinar.

* Webinar reports, participant lists and earnings data can still be viewed and exported after completion.

# New Poll

This screen is a form used to configure and create a new poll by setting its status, name, type, and associated webinar or session by navigating **Connected Learning ⇒ARM**. At the bottom right, there is a Create Poll button to submit and create the poll.

* Poll Status dropdown with options like ***Draft*** and ***Scheduled***.
* Poll Name field to enter the name of the poll.
* Poll Type selection using radio buttons: ***Webinar*****,&#x20;*****Batch***, and ***Batch Session*** (Webinar is default).
* Select Webinar dropdown to choose a webinar

# All Polls

This page displays the list of all polls created by the admin for batches, batch sessions, and webinars by navigating **ARM ⇒All Polls.** This screen displays details like Poll Name, Poll Type, linked to, Status with Actions drop down menu.

Key elements on the page:

* A **Search Polls** bar to quickly find a specific poll.
* A **Filter by Status** option to view polls based on their status.
* A **New Poll** button to create a new poll.

Admin can perform actions like view and edit Poll details, Add questions, View Question, and delete Poll by navigating to **All Polls ⇒Action.**

# Edit Poll Details

User can modify the Poll that is created, by navigating to **Action⇒ Edit Details** under **ARM.**

# Add Questions

<mark style="color:$success;">**Add Questions**</mark>

User can **add and design questions for a poll** by navigating to **Action⇒ Edit Details** under **ARM.** It allows admin to select the type of question from a dropdown and add it using the plus (**+**) button. This creates a workspace where the selected question is created including question text and answer options. Admin can add Timer, Score, difficulty level for the question and attach media files.

When user selects Multiple choice question from the drop down then the workspace to add question is displayed with options maximum of 6 Answer options to the question along with attaching media files.

When user selects Yes/No question from the drop down then the workspace to add question is displayed with only yes & no options along with attaching media files.

# View Questions

<mark style="color:$success;">**View Questions**</mark>

User can view all the question created by navigating **Action⇒ View Questions** under **ARM.** Here user can view details of the question selected along with supporting Images/Video/audio and also can delete question by clicking on the delete icon at the right corner.

Clicking on the delete icon near question under **view questions**, admin can delete the relevant question.

# Play

<mark style="color:$success;">**Play the Poll**</mark>

This page is used to allow users or participants to easily join the poll by scanning the QR code on the left side with the Skolarli logo and start interacting with the poll questions. Participants can scan this QR code using their mobile devices to join and play the poll instantly. Bottom-left icons indicate basic controls (such as view list of question, play or view options).

The **bottom-left corner** of the poll presentation screen contains the following controls:

1. **Questions Panel Icon** (📋)
   * Displays list of Questions available in the poll.
2. **Play Button** (▶)&#x20;
   * Display the list of learners attended the poll with time and score.
3. **Award Icon** (🏆)&#x20;
   * Display the timer for poll questions and responses and the score collection from the participants.
4. **Full Screen Icon** (⛶)&#x20;
   * Expands the poll screen to full-screen mode for better visibility during presentations or webinars.

These controls help the presenter manage and monitor the live poll session effectively.

Click on Question panel (1st Icon): Display all the questions available in the poll.

* The admin can navigate between the questions.
* When the admin selects a question from the question list, the selected question along with its answer options (A, B, C, D) is displayed, and the timer starts automatically.

* Registered participants who have joined the poll by scanning the QR code will see the question and its answer options on their screens once the admin posts the question.
* If a participant submits an answer before the timer expires, a confirmation message is displayed: **"Your answer has been recorded."**
* If the timer expires before a participant submits an answer, the following message is displayed: **"Time's Up. Your response will not be recorded."**

* If a participant attempts to select an answer before the admin has posted the question, the following warning message is displayed:&#x20;

  &#x20; **"Question not yet posted. Please wait"** to the participant.


# Delete

<mark style="color:$success;">**Delete the Polls**</mark>

Admin can delete the Poll by navigating from **" Action⇒ Delete"** under **ARM.** If user click cancel then the screen navigates back to all poll if user clicks yes, delete then the poll will be deleted forever.

# Program Curriculum

This page is the **SKOAI Curriculum Generator**, which uses AI to create professional training curricula.

Users enter a topic they want a curriculum for (such as Python Programming, Project Management or Communication Skills) in the input box and click **Generate Curriculum** to get an AI-generated structure. It also provides quick example topics to choose from and options like **Instant Generation**, **Structured Modules**, **Export to Markdown** and **Copy & Share** to customize, export, or share the generated curriculum easily.

#### <mark style="color:$success;">Generate curriculum</mark>

Clicking Generate curriculum button starts preparing AI-generated curricula.

<mark style="color:$success;">**Copy**</mark>

This allows users to copy and share the curriculum generated. Clicking on "**Copy**" button in top right corner will display “**Curriculum copied to clipboard!**”.

<mark style="color:$success;">**Download**</mark>

This allows user to download the curriculum in local machine and share the curriculum that is downloaded. Clicking on "**Download"** button in top right corner will display “**Curriculum Downloaded!**”.

At the footer/bottom of the page display **Time Metrics** and **Token Metrics**.

The metrics should be visible for the entire curriculum and update based on the curriculum content.

<mark style="color:$success;">**Time**</mark>

Displays how long the system took to generate the curriculum content. It helps users understand the processing duration for their request. It is display at the footer of content.

<mark style="color:$success;">**Tokens**</mark>

Indicates the number of AI tokens consumed to create the curriculum. Tokens represent the amount of text processed and generated by the AI, which is useful for tracking usage, limits, or cost monitoring. It displays at the footer of content.


# Video Knowledge Agent

This page is the **SKOAI – Generate Close Captions (CC)** dashboard shows all learning and training videos from all programs in one place and used to manage and generate captions or dubbed audio for all learning and training videos by navigating **SKOAI – GenAI ⇒Video Knowledge Agents** under **Knowledge Agents**

The main area displays videos in a **card/grid layout**. Each card represents one video thumbnail with a play icon, duration & expand < icon. It also displays Program name, Topic and Sub-topic details with two action buttons: **Dub Audio** & **Ask SKOAI.**

It is a **centralized video management hub.**

On selecting the video user can see the video player options on it.&#x20;

* **Play / Pause button** – Starts or stops the video.
* **Progress bar** – Shows the current playback position and allows you to seek forward or backward.
* **Volume control** –mute or un-mute the audio.
* **CC** **(Closed Captions)** – Turns subtitles on or off for the video.
* **Settings** – Used to change video quality, playback speed, or other playback preferences.
* **Transcript** - Shows the full text version of the video’s spoken content. Improve accessibility and understanding through text support.
* **Full screen** – Expands the video to full screen for better viewing.
* Hide options **>** – Hide all the options.

&#x20;<mark style="color:$success;">**Dubb**</mark>

This screen is the **“Select language to Dub Audio for: Content”** popup. It is used to choose the language and voice type before generating AI-dubbed audio for a video. User can generate localized audio versions of training videos, making content accessible to a wider, multilingual audience. On the right corner, there is a **close (X)** icon to exit the popup.

Below the title:

A **Search languages** field allows users to quickly find a language by typing (for example: Hindi, Spanish, French).

**Voice Gender** options: **Female & Male -** These let you choose the voice type for the AI narration.

The language selection area is divided into categories:

1\.     **Indian Languages**\
Users can select from multiple Indian language options using radio buttons:

1. Hindi
2. Telugu
3. Tamil
4. Kannada
5. Malayalam
6. Marathi
7. Gujarati
8. Punjabi
9. Urdu

2\.     **Global Languages**\
This section includes international language options such as:

1. US English
2. Spanish
3. French (and more, depending on system configuration)

Each language is shown as a selectable card with:

* A country/language code (like IN, US, ES, FR)
* A radio button to choose only one language at a time.        &#x20;

At the bottom of the popup:

* **Close** button: Cancels the action and exits the window.
* **Dub Audio** button: Confirms the selected language and voice gender and starts generating the AI-dubbed audio for the video.

**Clicking on Dubb Audio button** shows the **progress of dubbing a video into Pujabi (Male voice)**.

The system follows step-by-step processing:

1\.     **Fetch Transcript** – Completed (the original video transcript is successfully extracted).

2\.     **Translate** – Currently running (the transcript is being translated into Marathi).

3\.     **Generate Audio** – Will create the Marathi voice-over.

4\.     **Generate Subtitles** – Will generate subtitles in the selected language.

5\.     **Upload to Video** – Will merge the new audio with the video.

6\.     **Save Metadata** – Will store all dubbing details.

The **Processing Log** displays real-time updates like -Transcript creation, Number of transcript segments fetched, Translation in progress.

**Note:** If no error User should see all the processing steps are in green tick and If any error exist shows in red cross.

**Close**: exits the window.

The dubbed audio option can be seen in the related program curriculum that has been dubbed - Audio under setting.

On selecting the audio users can hear the video with the selected language and Voice gender.

This is Used for AI assistance through SKOAI for content enhancement, to interact with the AI for captions, queries, or enhancements related to the video.

# Audio Knowledge Agent

This page is the **SKOAI – Upload your Audio files to SKOAI AI Engine** dashboard. This screen **central audio management hub** which lists every audio topic available from different programs in one centralized place. It is used to manage and process audio content across all training programs by navigating **SKOAI – GenAI ⇒Audio Knowledge Agents** under **Knowledge Agents**

This screen works as a, where users can:

* Apply AI features like transcription, dubbing, and enhancement
* Manage audio-based learning content efficiently in one place.

This page is the **SKOAI – Upload your PDF files to SKOAI AI Engine** dashboard displaying PDF items in a **card/grid layout**. It is used to manage and process all training-related PDF documents with AI by navigating **SKOAI – GenAI ⇒Pdf Knowledge Agent** under **Knowledge Agents**

This screen lists every PDF document from different programs (pdfs in curriculums) in one centralized view.

Each card includes:

1. A **PDF icon**, indicating the file type.
2. **Display Program name**, **Topic** name & **Sub-topic** name.
3. A **SKOAI action icon (✨)** to apply AI features on that PDF, such as:

&#x20;      o    Generating summaries,

&#x20;      o    Extracting key points,

&#x20;      o    Answering questions,

&#x20;      o    Converting content into learning material.

Overall, this screen acts as a **central PDF knowledge hub**, where users can View all training PDFs across programs, Upload and manage documents, Use AI to analyze, summarize, and interact with PDF content & Make learning materials more searchable and intelligent.
