Markdown versions of documentation pages are available by appending `.md` to page URLs; this page is available as [Markdown](https://docs.skolar.li/integrations/recruit-crm.md). # Recruit CRM ## Recruit CRM Send Skolarli assessments to candidates automatically when you move them to an **Assessment** stage in Recruit CRM, and see their results back in Recruit CRM. **Time to set up:** about 10 minutes. ### Overview [Recruit CRM](https://recruitcrm.io/) is an ATS + CRM for recruitment agencies. The Skolarli app for Recruit CRM adds pre-hiring assessments to your Recruit CRM pipeline: 1. **Move:** a recruiter moves a candidate to the **Assessment** stage in Recruit CRM. 2. **Assess:** Skolarli emails the candidate the job's assessments (coding tests, skills tests, AI interviews or proctored tests), and the job's recruiter gets a confirmation. 3. **Decide:** when the candidate finishes, a note with the score, the trust score and a link to the full report appears on the candidate in Recruit CRM. Each Recruit CRM job gets a matching job in Skolarli. Its job code starts with **RC-**. ### Before you start | Where | What you need | | ----------- | -------------------------------------------------------------------------------------------------------------------------------- | | Recruit CRM | An account on the **Business plan or higher** (the plans that include Recruit CRM's API) | | Recruit CRM | The **Account Owner**, who can copy the API token | | Skolarli | An **admin** account | | Skolarli | The **Skolarli Decision Engine** app installed, active, and with its API key generated (**Apps** ⇒ **Skolarli Decision Engine**) | > **Note:** In the Skolarli Apps and Marketplace, without the Decision Engine, the Recruit CRM app shows **Requires Decision Engine** and can't be installed. ### Step 1: Add an "Assessment" stage in Recruit CRM 1. In Recruit CRM, open your hiring pipeline settings. 2. Add a new stage called **Assessment**. 3. Add it to every pipeline you use for jobs that need a Skolarli assessment. One "Assessment" stage works for all the pipelines you add it to. ### Step 2: Copy your Recruit CRM API token The Account Owner signs in to Recruit CRM, opens **Admin Settings** ⇒ **API & Integrations**, and copies the API token. > **Keep the token private.** Anyone who has it can read your Recruit CRM data. Skolarli stores it encrypted and never shows it again; the settings window shows only its last 4 characters. ### Step 3: Connect Recruit CRM in Skolarli 1. In Skolarli, click **Apps** at the top of the side menu. 2. Find the **Recruit CRM** card and click **Install**. 3. Under **Connect your Recruit CRM account**, paste the API token and click **Connect**. Skolarli shows the Recruit CRM account it connected to. 4. Under **Choose the trigger stage**, select **Assessment**. If you added the stage just now and don't see it, click the reload button next to the list. 5. Click **Save settings**. Your API Keys on Skolarli apps are encrypted. The card now shows **Active**. Skolarli registers its webhook in Recruit CRM by itself when you save, so there's nothing else to set up in Recruit CRM. ### Step 4: Add assessments to each job The first time a candidate on a Recruit CRM job moves to **Assessment**, Skolarli creates the matching job (its job code starts with **RC-**). A new job has no assessments yet, so that first candidate isn't sent anything, and you get an email telling you so. 1. In Skolarli, go to **Hiring** ⇒ **Manage Job Positions** and find the **RC-** job. 2. Edit the job and add the assessments candidates should take. 3. In Recruit CRM, move that first candidate out of **Assessment** and back in. They're sent the assessments now. From then on, every candidate you move to **Assessment** on that job is sent the assessments straight away. > **Tip:** To set a job up before real candidates arrive, move a test candidate to **Assessment** once, then add the assessments. ### What happens next | Who | What they get | When | | --------------- | --------------------------------------------------------------------------------------------- | ----------------------------------------------------------------------------------------------------------------------------- | | Candidate | An email from your company with a link to each assessment | Moved to **Assessment** | | Job's recruiter | An email confirming it, for example "Asha Rao was sent the Senior Developer assessment" | Each time a candidate is sent their assessments | | Job's recruiter | An email saying the candidate couldn't be sent the assessment, with the reason and what to do | The job has no assessments, the candidate has no email address in Recruit CRM, or Recruit CRM or Skolarli couldn't be reached | | Recruit CRM | A note on the candidate, shown on the job too | The candidate finishes, abandons or misses the assessment | | Skolarli admins | An email if the connection stops working | Skolarli's daily connection check finds a problem | **Who is the recruiter?** If the person who owns the job in Recruit CRM is also a Skolarli user with the **Recruiter** label, Skolarli makes them the job's recruiter automatically. You can change the recruiter in Skolarli at any time, and Skolarli never replaces a recruiter you chose. If a job has no recruiter, your Skolarli admins get the emails. **Moving many candidates at once** is fine. Recruit CRM limits how fast other apps can work with it, so some candidates may get their assessment a few minutes later. Nobody is missed, and nobody gets it twice. ### Results in Recruit CRM When a candidate finishes an assessment, Skolarli adds one note per assessment to the candidate in Recruit CRM. The note also shows on the job. It includes: * the assessment and the job * the status and the score (for example 34 / 40, 85%) * the trust score and integrity flags, for proctored assessments * when the candidate finished * a link to the full report in Skolarli (the link needs a Skolarli sign-in) If a candidate starts but doesn't finish, or never starts before the assessment expires, the note says so and has no score. ### Manage the integration Open **Apps** and click the Recruit CRM card's button to open its settings. | Card shows | What it means | | -------------------- | ------------------------------------------------------------------------------------- | | **Active** | Everything works. | | **Setup incomplete** | No trigger stage is chosen yet. Open the settings, choose **Assessment** and save. | | **Action needed** | Recruit CRM rejected the token, or the webhook is missing. See Troubleshooting below. | | **Inactive** | The app was deactivated. Use the gear menu on the card to activate it. | * **Replace the token:** in the settings, click **Replace token**, paste the new token and click **Connect**, then **Save settings**. * **Deactivate or uninstall:** use the gear menu on the card. Uninstalling removes the connection, its webhook in Recruit CRM and the stored token. Moving candidates to **Assessment** then no longer sends Skolarli assessments. ### Troubleshooting | What you see | What to do | | -------------------------------------------------------------------------- | ------------------------------------------------------------------------------------------------------------------------------------------------------- | | The card shows **Action needed** | Open the settings. If the token was replaced or removed in Recruit CRM, click **Replace token** and paste a new one. Otherwise click **Save settings**. | | Email: "Recruit CRM is disconnected from Skolarli" | The API token was removed or changed in Recruit CRM. Paste a new token in **Apps** ⇒ **Recruit CRM**. | | Email: "Recruit CRM has stopped sending candidates to Skolarli" | Open **Apps** ⇒ **Recruit CRM** and click **Save settings**. | | You moved a candidate to **Assessment** and got no email within 15 minutes | Check that the stage is the trigger stage chosen in Skolarli, then move the candidate out of **Assessment** and back in. | | Email: "... couldn't be sent the ... assessment" | Follow the steps in the email, then move the candidate to **Assessment** again. | | The **Install** button is locked | Install the **Skolarli Decision Engine** app and generate its API key first. | Skolarli checks the connection once a day and emails your admins if it stops working. ### FAQ **Which Recruit CRM plans work?** Business and above, the plans that include Recruit CRM's API. **Do I need to change my pipelines?** Only to add one stage called **Assessment** to the pipelines you want to use. **Can I use a stage with a different name?** Yes. Choose that stage as the trigger stage in Skolarli instead of **Assessment**. **Can Skolarli move the candidate to another stage when results are in?** Not yet.
